Frequently asked
Quick answers to common questions.
Go to Work Orders and click Create Work Order. Pick or add a customer, add the vehicle or property if your trade uses one, then add jobs with labor and parts and save. Saved labor presets fill in common work in one click.
Open the work order and click Send Email, or Send SMS once texting is set up. Your customer gets a link to view the document, approve it, and pay online if you accept card payments. You can also copy the link and share it any way you like.
Jobs are logical groupings of work (like "Brake Service" or "Oil Change"). Each job contains labor and parts as line items. This helps organize work orders and makes estimates clearer for customers.
Yes, on any paid plan. Customers open the estimate link and sign to approve, you get notified, and the work order status updates.
Open the work order and use the Photos section to upload from your device or take a photo with your phone's camera. Free allows 3 photos per work order, Quotera One 5, Basic 10, and Pro and Max unlimited.
Yes. Labor presets come with every paid plan, with more saved presets on higher plans. Full job templates, which add a complete job with its labor and parts, are on Pro (up to 25) and Max (unlimited). Both live under Presets.
Yes. Click Print on the work order. The customer copy opens with your browser's print dialog, where you can print it or save it as a PDF.
Automotive shops on Pro and Max can run inspections from preset checklists and send the results to the customer as a link.
Go to Settings → Import and upload a CSV file. You map your columns to Quotera fields, and duplicate detection flags records you already have. Import comes with every paid plan. Quotera One imports customers only; trade plans can also import vehicles or properties.
Yes. Pick an existing one or add a new one when you create a work order, and its service history builds automatically. The Free plan holds up to 50 customers and 50 vehicles or properties; paid plans are unlimited.
Automotive shops on Basic and above can enter a 17-character VIN and Quotera fills in the year, make and model.
Yes, for automotive shops on Basic and above, including during the free trial. Look up a VIN from a license plate, pull a vehicle's service history into the work order, and Quotera sends your completed work orders to CARFAX every day. Set it up in Settings → Connections. The CARFAX Shop Loyalty Program needs a paid plan.
Online booking comes with Basic and above. In Settings → Booking, set your available days, time slots and booking window, and block holidays or closures. Your page lives at quotera.app/book/your-shop-name, ready to share on your website, Google listing or social media.
When a customer books online, you'll receive a notification. Review the appointment in the Appointments page and accept or decline it. Accepted appointments can automatically create a work order.
Yes. Pro and Max plans can add an About Us section and a photo gallery (up to 6 photos) to the public booking page. Configure it in Settings → Booking. Great for showing off your shop, team, and recent work to customers before they book.
Calendar and scheduling are available on Pro and Max plans. You can drag and drop work sessions, manage appointments, assign technicians to time slots, and add calendar blocks for closures. The unified calendar shows appointments, scheduled work sessions, and blocks side by side in day, week, or month view.
Automatic appointment reminders are part of the Marketing Center on the Max plan. When you accept an online booking, Quotera can attach your reminder campaign to the work order.
Texting starts on Basic and above with an active paid subscription. US carriers also require every business to register before it can text customers. Start in Settings → Connections. Approval usually takes 3 to 5 business days, and your business needs its own website. Quotera One does not include texting.
Basic includes 50 texts a month, Pro 200, and Max is unlimited. The count resets each billing cycle, and this period's usage shows in Settings → Billing. Sending photos by text is a Max feature.
Yes. Replies to estimates, invoices, and other emails sent from Quotera show up as threaded conversations alongside SMS. Two-way SMS is available on Pro and Max plans. Two-way email is available to all paid plans. You'll see new replies in real time, and any attachments are saved with the conversation.
Inventory comes with Basic and above: Basic tracks up to 50 parts, Pro 250, and Max unlimited. Parts on a work order come out of stock when the estimate is approved, and parts below their minimum show a Low Stock badge. Purchase orders and receiving live here too.
Yes, for automotive shops on Basic and above, including during the free trial. Enter your existing Nexpart login in Settings → Connections, then use Add from Nexpart on a work order to find parts and send the order.
Free, Quotera One ($29 a month, for solo general-service businesses), Basic ($75), Pro ($129) and Max ($199). Higher plans add team members, texting, online booking, inventory, scheduling and more. The pricing page has the full comparison.
Quotera One is built for one person running a general-service business: unlimited work orders and customers, estimates and invoices, online payments, digital signatures, expenses, reports and email. It does not include team members, texting, online booking, scheduling or inventory. If you outgrow it, move to a trade plan in Settings → Billing.
We accept all major credit cards (Visa, Mastercard, American Express, Discover) through our secure payment processor, Stripe. You can also pay with debit cards.
Yes, cancel in Settings → Billing, including annual plans. Your plan stays active until the end of the period you paid for, then the shop moves to the Free plan. Your data is not deleted, and Free plan limits apply to anything new.
On any paid plan (Quotera One and up), you can export financial reports to CSV from the Reports page: profit and loss, expenses, payments, tax summary, and invoices. These are the exports designed for handing off to accounting software. There is no CSV export for customer or work order records today.
We do not offer refunds for subscription payments. However, you can cancel anytime and your access continues until the end of your billing period. We recommend starting with the Free plan to make sure Quotera is right for you.
Yes, from Settings → Billing. A plan change takes effect right away and Stripe prorates the difference on your next bill.
Yes, annual billing saves about 12.5% compared with monthly. Choose annual when you subscribe. To move an existing subscription between monthly and annual, contact us from the Help page and we will switch it for you.
Go to Settings → Account and use Delete account. Your account closes right away, support can restore it for 30 days, and after that it is permanently erased. A shop where you are the only member closes with it. If others use your shop, transfer ownership first. Full details are at quotera.app/delete-account.
Yes. Shops on an active paid Basic, Pro or Max plan can share a link from Settings → Referrals. When a business you refer pays for its second month, or reaches 30 days on an annual plan, you get a $20 credit and 2.5% off your subscription for 12 months. Full terms are on our legal page.
Go to My Team, click Invite Member and enter their email. Free includes 1 user (you), Basic up to 5, and Pro and Max unlimited. Quotera One is a one-person plan with no team.
Every shop starts with preset roles for its trade. Automotive: Owner, Manager, Service Writer, Technician, Shop Foreman, Parts Manager and Bookkeeper. Landscaping: Owner, Manager, Estimator, Crew Lead, Crew Member and Bookkeeper. You can edit presets or build custom roles from detailed permissions, and more than one person can hold the Owner role.
Yes, on Basic and above. Assign one or more team members to a work order to track who is working on what.
Yes. Group your shops into an Organization for $10 a month, billed separately from each shop's plan. You get every shop side by side and can move vehicles, stock and presets between them. It needs at least two shops on paid plans. While it is active, your most expensive shop pays full price and each of your other shops gets 33% off its plan. Closing the Organization ends the discount, and the $10 fee runs to the end of the month already paid.
Yes. Connect Stripe in Settings → Connections, and the invoices you send get a Pay Now button. Customers pay by credit or debit card, and the money goes to your Stripe account, then your bank. Each card payment has Stripe's standard fee (2.9% + 30¢) and a Quotera platform fee (1% + 20¢), both taken out before payout. On a $1,000 payment you keep $960.50. Cash, checks and other payments you record yourself have no fee. Online payments come with every paid plan.
Expenses come with every paid plan for rent, tools, supplies and other costs, and they feed your profit reports. Recurring expenses are on Pro and Max.
Every paid plan gets the Reports page: revenue, profit and loss, expenses, payments, tax summary and invoices, with CSV export. Max adds employee analytics and the Marketing Center.
Landscaping businesses get the Route Planner and Crews on Basic and above, plus Recurring Jobs (15 active on Pro, unlimited on Max) and Contracts on Pro and Max.
All data is encrypted in transit and at rest, kept separate for each shop at the database level, and never shared with third parties. Card payments run through Stripe, so we never store card numbers.
